Privacy Statement (3 July 2020)
The Education CHANCES Foundation is a charity registered with the Australian Charities and not for Profit Commission. As such we adhere to the Victorian Privacy and Data Protection Act 2014 Information Privacy Principles and when children of School Age are involved pay particular attention to the Victorian Department of Education and Training’s Schools Privacy Policy.
Why do we collect information?
We collect information for the purposes of informing people about our activities, what these activities are, how they can help us in anyway and for assessing any applications for financial or other assistance. This information usually only relates to contact information, what information people would like to receive, any on-going relationship with the Foundation e.g. as a volunteer and/or financial contributor and information necessary to be able to makeinformed decisions.
What sort of information do we collect?
We collect contact information from various sources including our own recordsthat is of a general nature. Apart from contact details and general information such as date of birth, occupation, level of income we do not collect any other personal details such a marital status, number of children, spouse details without consent.
We also collect information where we are required to do so by Government including any relevant Government related bodies that have the legal power to require us to do this. We do not collect information on behalf of or at the request of private organisations/persons unless they can satisfy us that the request has a purpose relevant to us and will not be used for promotional, marketing or any other normal business purpose.
For applications for financial assistance we collect information we deem necessary from time to time to make an informed decision as to eligibility and the amount of assistance we may or may not provide. We do not collect specific information on persons’ health issues except where this is necessary to make an informed decision concerning financial assistance. This would only form part of the application process when it is central to the nature of the assistance required.
How do we store this information?
All contact type information is kept on our private databases to which access is granted on a “need to know basis” and in accordance with the authority given to delegates approved by the Board of the Foundation for this purpose. Information concerning individual’s requests for financial assistance and associated documentation are held in a secure offsite location and are only available to persons other than Directors on a “need to know basis” as determined by delegate/s approved by the Board for this purpose. We would only include details of any applicants for financial assistance in our contact database/s with the explicit approval of the person/s concerned. Where students under the age of 18 years are involved the explicit approval of a parent or guardian and the student is required. Student’s school email addresses would not be recorded.
What do we do with this information?
We will use general contact information to enable us to keep interested parties informed of our activities, what volunteering opportunities may be available and how they can assist us financially.
Where applications for financial assistance are concerned we will only use this information to help us make informed decisions as to whether an application meets our criteria and the extent if any of the assistance we will provide unless the applicant provides explicit consent to us to include their contact details in our contact databases.
Access to information concerning applications for financial assistance will be on a need to know basis other than where Board members are concerned. All of the Education CHANCES Foundation’s activities are funded by a number of Charitable Trusts and Board members in their roles as Trustees of these Trusts are entitled to any and all information in respect of any application/s for financial assistance.
The Education CHANCES Foundation will never sell or otherwise pass on any information to a third party except where legally required to do so or in relation to outsourcing for the purposes of making contact for such purposes as fund-raising, bulletins, newsletters etc. Any such persons or organisations will be subject to prior probity checks and the provision of a written confidentiality agreement that may take the form of a Statutory Declaration or other form of legal document having equal or greater legal power.
Do I have access to data you hold about me?
You have access to any and all information we hold about you for whatever purpose in accordance with Victorian Privacy and Data Protection Act 2014 and where current school students are concerned, any additional criteria in the Victorian Department of Education and Training’s Schools Privacy Policy.
If any of the personal information whether of you, your family or other relevant people we retain is found to be incorrect we will correct it as needed. Where people other than your-self are involved we reserve the right to request written authorisation from them before making any change/s to the information we hold about them. This extends to providing you with other persons – including family members- contact details. We also will need their written permission before providing you with this information.

Amendment/ Date of Effect of our Privacy Policy
We reserve the right to amend this policy as and when we deem it necessary. Normally this will only occur if there is a significant change to the Foundation’s activity or a change in relevant Government Policy.
This policy will take effect as from 1 July 2020 and we will maintain an up to date copy of this policy on this webpage.
